Important Notice: By accessing this website, enrolling a student, or interacting with CJ Schools services, you agree to be bound by these Terms & Conditions. If you do not agree with any part of these terms, you must discontinue use of our services immediately.

1. Introduction and Acceptance of Terms

Welcome to CJ Schools ("the School", "we", "us", "our"). These Terms and Conditions ("Terms") govern your relationship with CJ Schools Limited (trading as CJ Schools Modern Montessori Education Centre) and your use of our website, educational services, and facilities located at our Kotobabi, Tantra Hills, and Adenta branches.

These Terms constitute a legally binding agreement between you ("the User", "Parent", "Guardian", or "Student") and CJ Schools. They apply to all aspects of the School's operations, including but not limited to admissions, academic delivery, extracurricular activities, website usage, and financial obligations.

We reserve the right to modify, update, or replace these Terms at any time. Material changes will be communicated via our official channels or website. Continued use of our services following any changes indicates your acceptance of the new Terms.

2. Definitions and Interpretations

To ensure clarity, the following definitions apply throughout this document:

  • "The School" refers to CJ Schools Limited and its authorized representatives, staff, and administrators.
  • "Parent/Guardian" means the natural parent, legal guardian, or individual with legal responsibility for the child enrolled at the School.
  • "Student" means the child or individual enrolled in educational programs provided by the School.
  • "Fees" includes tuition fees, registration fees, levy fees, exam fees, and any other charges applicable to the student's education.
  • "Force Majeure" refers to events beyond the School's reasonable control, including acts of God, war, pandemics, government restrictions, or natural disasters.
  • "Content" means text, images, video, software, and other materials available on the School's website or digital platforms.

3. Admissions Policy

3.1 Application Process

Admission to CJ Schools is open to students of all backgrounds, subject to the availability of places and the successful completion of our assessment procedures. Parents must submit accurate and complete information during the application process. Any falsification of documents or information may result in the immediate revocation of an admission offer.

3.2 Assessments and Placement

The School reserves the right to administer entrance assessments to determine the academic level and readiness of the prospective student. Placement in a specific year group or class is at the sole discretion of the Head of School, based on assessment results and age-appropriate guidelines. We reserve the right to refuse admission if a student does not meet the required academic or behavioral standards.

3.3 Conditional Acceptance

Acceptance may be conditional upon the submission of outstanding documents (e.g., previous school reports, medical records) or the payment of a registration fee. The admission offer is valid only for the specific term indicated in the acceptance letter and is not transferable.

4. Fees and Payment Terms

4.1 Payment Schedule

School fees are determined annually by the Board of Directors and are payable in advance. Full payment of tuition and associated fees must be made by the first day of the academic term, or by the specific deadline communicated on the invoice. Failure to receive an invoice does not exempt the parent from the obligation to pay fees on time.

4.2 Late Payments and Exclusion

CJ Schools reserves the right to levy a late payment charge or interest on overdue balances. Furthermore, the School reserves the right to exclude a student from attending classes, sitting for examinations, or participating in school activities if fees remain unpaid after the stipulated deadline. Access to school reports and transcripts will be withheld until all financial obligations are met.

4.3 Additional Costs

Tuition fees generally cover standard instruction. However, additional costs may apply for textbooks, uniforms, external examination registrations (e.g., Cambridge, BECE), field trips, extracurricular clubs, and specialized learning support. These costs will be communicated to parents in advance.

5. Withdrawal and Refund Policy

5.1 Notice Period

Parents must provide at least one full academic term's written notice to the Head of School before withdrawing a student. For example, to withdraw a student for Term 2, notice must be given before the commencement of Term 1.

5.2 Penalty for Insufficient Notice

Failure to provide the required written notice will result in the forfeiture of any security deposits held and/or a penalty charge equivalent to one full term's tuition fees. This policy allows the School to manage class sizes and staffing resources effectively.

5.3 Refunds

Fees paid to the School are generally non-refundable and non-transferable. No refunds will be granted for temporary absences due to illness, suspension, expulsion, or voluntary withdrawal during the term. In the event of a Force Majeure closure (e.g., pandemic lockdown), the School will transition to remote learning, and fees will remain payable to cover operational costs.

6. Student Code of Conduct

Students are the ambassadors of CJ Schools and are expected to demonstrate high standards of behavior at all times.

  • Respect: Students must treat staff, peers, and visitors with respect and courtesy. Bullying, harassment, and discrimination are strictly prohibited.
  • Integrity: Academic honesty is paramount. Plagiarism, cheating in examinations, or forgery of documents will result in severe disciplinary action.
  • Property: Students must respect school property. Parents will be liable for the cost of repairing or replacing any school property damaged by their child.
  • Sanctions: The School reserves the right to impose sanctions for breaches of the Code of Conduct, ranging from verbal warnings and detention to suspension or permanent expulsion. In cases of expulsion, no fees will be refunded.

7. Intellectual Property Rights

7.1 Ownership

All content available on the CJ Schools website, learning portals, and printed materials—including text, graphics, logos, icons, images, audio clips, and software—is the property of CJ Schools Limited or its content suppliers. It is protected by international copyright laws and intellectual property treaties.

7.2 Limited License

Users are granted a limited, revocable, and non-exclusive license to access and make personal use of the School's website. You may not download (other than page caching) or modify any portion of it without express written consent from CJ Schools. This license does not include any resale or commercial use of the School's content.

8. Digital Usage and Safety

When using CJ Schools' digital platforms, including the website, email systems, and online learning environments, users agree not to:

  • Use the platforms for any unlawful purpose or to solicit others to perform unlawful acts.
  • Upload or transmit viruses, malware, or any other type of malicious code.
  • Attempt to gain unauthorized access to the School's computer systems or the personal data of others.
  • Post or transmit content that is obscene, defamatory, threatening, or invasive of privacy.

The School reserves the right to monitor digital usage on school-provided networks and devices to ensure compliance with this policy.

9. Liability and Indemnity

9.1 Limitation of Liability

While CJ Schools takes every reasonable precaution to ensure the safety and well-being of students and the security of its premises, the School cannot be held liable for:

  • Loss, damage, or theft of personal property brought onto school premises by students, parents, or visitors.
  • Personal injury or death, unless caused by the proven negligence of the School or its employees.
  • Any interruption of services due to Force Majeure events.

9.2 Website Disclaimer

The information provided on the CJ Schools website is for general informational purposes only. While we strive for accuracy, we make no warranties, express or implied, regarding the completeness, reliability, or availability of the website content. Your use of the website is at your own risk.

9.3 Indemnification

You agree to indemnify, defend, and hold harmless CJ Schools, its directors, officers, employees, and agents from any claims, liabilities, damages, judgments, awards, losses, costs, expenses, or fees (including reasonable attorneys' fees) arising out of your violation of these Terms or your use of the School's services.

10. Privacy and Data Protection

CJ Schools is committed to protecting your privacy. Our collection, use, and storage of personal data are governed by our Privacy Policy and are in compliance with the Data Protection Act, 2012 (Act 843) of Ghana.

By using our website or enrolling a student, you consent to the processing of your personal data for educational, administrative, and security purposes. Please refer to our separate Privacy Policy document for full details on your rights and our data practices.

11. Termination

The School reserves the right to terminate the enrollment of a student or the access of a user to the website immediately and without notice if:

  • Fees remain unpaid for a significant period.
  • There is a serious breach of the Student Code of Conduct or these Terms.
  • The relationship of trust and confidence between the School and the parent has irretrievably broken down.

12. Governing Law and Jurisdiction

These Terms and Conditions shall be governed by and construed in accordance with the laws of the Republic of Ghana. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Ghana.

We encourage open communication and mediation as a first step to resolving any disagreements before resorting to legal proceedings.
